We know that whenever we execute a project, the project will be under some project management. So, project management means some skills, tools and techniques which will be applied on the project activities to meet the project objectives. So, we are having different kinds of tools. So, we are having different softwares, different respective hardware and platforms on which we will be working. We require some skills. So, that is the motivation, communication, budgeting, problem solving and so on. And we also require some prior knowledge which you can acquire from the previous experience, working experience or doing some study, taking some training, this knowledge can be gathered. So, all these skills, tools and techniques will be applied on the project activities to meet the project objectives. In project management book, in one of the project management book, I read one very funny statement. That a project with project management may or may not fail, but a project without project management is bound to fail. A project without project management is bound to fail and that is quite obvious. Because if there is no project management, if there is no skills, no technique, no prior experience, no knowledge, then project cannot get executed. But why a project with project management may or may not fail? Because if you do not do the proper monitoring and control on the project execution, then obviously the project is bound to fail even if the project is under project management. So, that is why this project execution and monitoring, that is the control and monitoring is very important. So, you might be asking me what is the meaning of this control and monitoring? So, let us suppose there is one activity which. Which was estimated will be done in 10 days of time. So, now when the task is in operation after 5 days, we are expecting that 50 percent of the activity should get completed. But we are finding that only 30 percent of the activity has got completed when we have spent 50 percent of the execution time whatever we estimated. Then what will happen? We are getting this idea that this particular activity is going to miss the deadline. Then what should I do? Then obviously we should deploy some additional resources to the activity or you should take some preventive measures. So, that activity can get completed within 10 days of time. We should bring back the project onto the track again. Who will be doing this project tracking and monitoring? So, after completion of that activity, another activity is supposed to get initiated. So, after completion of the development, then testing will get initiated. So, after completion of one phase, another phase is supposed to get initiated. If the phase is getting. And if the deadline is very rigid, then the testing activity is to be done in a lesser amount of time compromising on the quality of the software. So, that is why this project monitoring and control will bring back this system back on to the track. So, that we can get our project within the budget, within the deadline with the respective quality. So, that is the triple constraint theorem can be achieved if the project is kept under the constant monitoring and control. So, here you see we are having this plan, track, control, identify, analysis, then plan, track, control, identify, analysis. So, it will go on doing a continuous looping. So, in this phase, the track, the task described in the project plans are executed according to their schedule. So, what will happen in case of project monitoring and control, we can ensure that our tasks are executing according to the pre-decided schedule. Execution needs monitoring in order to check whether everything is going according to the plan. Monitoring is observing to check the probability of risk and taking measures to address the risk or report the status of various tasks. So, in case of monitoring, we will be generating reports, we will be taking care of different risks that may come and also calculation of the probability of appearance of those risks. Activity monitoring. So, these measures include activity monitoring. All activities scheduled within the same task can be monitored on day-to-day basis. When all activities in a task are completed, it is considered as completed. When all the activities in a task has got completed, you can say that, yes, now this particular task has got completed and all these particular tasks must be kept on day-to-day monitoring basis. Status reports. So, the reports contain status of activities and tasks completed within a given time frame and generally a week. Status can be marked as finished, pending or work in progress, etc. So, this status reports against the activities and tasks which will be marked as finished or say ongoing or pending. So, these are the reports are to be generated. So, say on the weekly basis, the reports can get generated. So, what will happen? We can take the snapshot of our project. So, that you can see that in the previous week, it was our planning. Now, how far the tasks have got deviated. So, what are the measures we have taken? So, another snapshot of the project we are taking. This snapshot will be known as the baseline. Milestones checklist. Every project is divided into multiple phases, where major tasks are getting performed. And these milestones are based on these phases of SDLC. So, what is the milestone? Milestones means actually a demarcation, which will demarc between the two phases, completion of one phase and beginning of another phase. You can put a milestone in between. This milestone checklist is prepared once every few weeks and reports the status of the milestone. So, whether a particular phase has got completed or not and beginning of another phase should be demarced by the presence of a milestone. A milestone is nothing but a task with the duration 0.
